The classic mismatch is hiring a low-cost compliance shop and expecting advisory. Filing-mill firms process hundreds of clients on deadlines; they are structurally unable to think about your business between filings. Cheapest is expensive: the ₹1,500-a-month filer who never reconciles your ITC leaks more than his discount. Costliest isn't automatically better either. The test is value articulation: a professional who can explain what you get for the fee — reconciliations done, deadlines owned, quarterly reviews included — is usually one who delivers it. Get the scope in writing; fee disputes are almost always scope disputes.

Red flags

Guaranteed refunds or 'zero tax' promises; asking for your portal passwords with no engagement letter; chronic unreachability before deadlines; filings done without your review; and bills that grow with unexplained 'misc charges'. Any two of these — move.

Set a rhythm: a fixed monthly call reviewing filings, cash, and anything the law changed; documents shared on the 1st, not the 9th; one consolidated question list instead of daily WhatsApp fragments; and an annual planning session before March, when tax moves are still possible. For registrations, licences, subsidies and setup projects, specialist consultancies often outperform generalist CAs because the work is procedural-domain knowledge — which department, which annexure, which officer's checklist.
